Collaborate seamlessly by adding colleagues to your SoterAI organization and assigning them the appropriate access levels.
1. Members Screen
On the Members screen you’ll find a list of all users in your organization along with their assigned roles.
2. Inviting New Members
On the Members screen:
- Click Invite Member.
- Enter the teammate’s email address.
- Assign one of three roles:
- Owner – Full access to all Organization and Workspace settings, billing, and user management. Owners can invite, remove, and promote other users (including additional Owners).
- Manager – Full access to workspace creation, configuration, member management (excluding Owner roles), and feature settings. Managers can invite and manage Members but cannot change billing or Organization‑wide settings.
- Member – Standard user access: view and use chats, workflows, data sources, and AI Intelligence layers (per edition); create and edit their own content; upload files; and edit only their personal profile settings.
- Click Send Invite to send the invitation.
3. Changing Member Roles
On the Members screen, find the user whose role you want to update. Use the Role dropdown next to their name to select a new role and confirm the change.
4. Removing or Re‑inviting Members
On the Members screen:
- Use the Remove action next to a user to revoke access immediately.
- Use the Re‑invite action for pending invites to resend the invitation.
5. Role Descriptions & Best Practices
Owner
- Full, unrestricted control over the Organization and all Workspaces
- Invite, remove, or change any user’s role (including other Owners)
- Manage billing, edition upgrades/downgrades, and trials
- Edit Organization settings (name, location, industry, priority regulations)
- Archive or delete the Organization
Manager
- Create, edit, or delete Workspaces
- Invite, remove, or change roles for Members (but not Owners)
- Configure workspace-level settings (branding, data-source connections, workflows)
- View billing and usage dashboards (but cannot modify billing details)
- Access all shared data and AI features enabled in the Organization’s edition
Member (Enterprise only)
- View and use Chats, Workflows, Data Sources, and AI Intelligence layers (per edition)
- Create and edit their own chats and workflows
- Upload files to data sources (if permitted)
- Edit only their own user profile settings (name, avatar, notifications)
Best Practices
- Least‑Privilege Principle: Grant only the permissions each user needs.
- Regular Audits: Periodically review your Members list to remove access for former team members.
With roles clearly defined and your team invited, you’re ready to collaborate effectively in SoterAI!
